Advancement Services Manager

Essential Functions/Position Responsibilities:

  • Oversee database systems for development office, supervising Development Operations Assistant and student workers
  • Operation of Virtuous fundraising database; establishing and communicating policies on gift recording and donor data; oversight of data on all types of giving including pledges, recurring online giving, stock gifts, ACT and payroll gifts
  • Facilitate reconciliation with data systems college-wide
  • Produce gift and financial reports according to established Development Office schedule
  • Monthly financial reports, quarterly board reports, annual documentation requested by financial auditors
  • Data analysis undertaken with specific development focus
  • Oversee prospect management of major donors and identify new prospects not yet fully engaged with Marlboro, to support the President, Chief External Relations Officer, and other frontline fundraising team members
  • Develop prospect portfolios
  • Create a dynamic and data-driven prospect management system to support the personal cultivation and ask activities of the frontline fundraisers
  • Conduct prospect research and draft profiles
  • Master calendar of related development office activities and projects
  • Maintain central files for departmental procedures and policies
  • Purchase requisitions, purchase orders and vendor invoices
  • Coordinate departmental technical support with IT Department
  • Data systems changes, upgrades and replacements
  • Participate in department-wide projects and activities as assigned
  • Family day and other special projects and events
  • Participate in event planning and implementation

Education and Experience:

Minimum of Associate’s Degree and three years of comparable experience including; supervision of student workers, experience with direct mail, and responsibility for a relational database. Preferred qualifications and skills include collaboration within a small team office, clear communications with both internal and external audiences, interest in and ability to track and analyze data. Financial reporting experience and a demonstrated interest in field of institutional advancement desirable.
