Position Title: Assistant to the Registrar
Department: Academic Affairs
Reports To: RegistrarProvide diversified administrative and support services to the Registrar. Assist in the compilation, maintenance and retention of undergraduate and graduate student academic records in a manner that is consistent with established policies and processes.

Essential Functions/Position Responsibilities:

  • Setup and maintain undergraduate and graduate student records such as personal identification, contact information, course registration, withdrawal, grades, etc. in the appropriate database system;
  • Enter modifications and new data to student records in a timely and accurate manner;
  • File and maintain hardcopy documentation in accordance with established security and retention processes and procedures;
  • Coordinate the collection and entry of mid-term and final semester and academic year grade results from Faculty;
  • Receive and respond to requests for transcripts from students or other authorized individuals and institutions. Record and process payments received for transcripts;
  • Generate enrollment, course registration, and confirmation documents. Generate related reports and/or correspondence for students, parents and external clients as requested and appropriate;
  • Respond to internal and external inquiries relative to course schedule and availability, etc. in a timely and professional manner;
  • Assist in the resolution of enrollment, student records and related matters;
  • Respond to internal and external inquires relative to the College’s course registration, withdrawal, records and other registrar policies and process;
  • Assist in student pre-registration and registration processes to ensure effective, efficient and accurate registration and the generation of related records;
  • Compile, produce and distribute Student Directory within desired timeframe;
  • Collect and enter course tutorial descriptions into Registrar database;
  • Enter and update course registrations in system;
  • Generate and distribute class registration data and statistics to Curriculum Committee members;

Position Requirements:

  • High School education or the equivalent; some college preferred.
  • 3 to 12 months of prior administrative support experience;
  • Working knowledge of data entry, report maintenance and generation;
  • Demonstrated ability to manage competing demands, deal effectively with unanticipated changes in schedules and priorities;
  • Excellent interpersonal and oral communication skills;
  • Demonstrated ability to listen, obtain clarification, approach and respond to internal and external customers in an appropriate and professional manner;
  • Strong working knowledge of all Microsoft Office suite software and their application and use, including Word, Excel, and Outlook;
  • Demonstrated attention to detail, quality and accurate of work;
  • Ability to follow defined processes, procedures and instructions;
  • Ability to maintain confidential data in a secure and appropriate manner.
